Cancellations

Cancellations are not a nice part of events but they do happen for many reasons. As a timing company, once a quote is accepted for a date we then reserve that date exclusively, meaning we turn away other potential work. Because of this we have a cancellation policy to cover ourselves as it is very difficult to refill a slot at short notice and still pay the bills.

DEPOSITS/CONSUMABLES – The deposit is non refundable as it often covers the cost of the disposable timing chips or race numbers, which means we have already paid for these items to be made up front. Any outstanding consumables that have been made will be invoiced even if the event is cancelled.

ANYTHING OVER ONE MONTHS NOTICE – 30% of the minimum invoice amount including the deposit. for example £600  with no deposit is £180.00

THREE WEEKS  TO ONE MONTHS NOTICE – 50% of the minimum invoice amount including the deposit. for example £600  with no deposit is £300.00

TWO WEEKS TO THREE WEEKS NOTICE – 60% of the minimum invoice amount including the deposit. for example £600  with no deposit is £360.00

ONE WEEK/DAYS NOTICE – 100% of the minimum invoice amount including the deposit.

Deferrals

If an event is deferred to the following year on a similar date (as in the event stays active and the runners can keep there place). 50% of the invoice will be charged however that 50% will be deducted from the following years event.

Rescheduling

All of the above scenarios will be waved if an alternate date in the same year can be found that we can provide all the agreed services.
